General Photo Booth Hire Terms and Conditions
Timeless Booths will provide hired equipment for your event according to the following terms and conditions.
Booking, Deposit and Payment
To secure your booking, a non-refundable booking fee of £50 must be paid. This will be deducted from the total amount payable when the final payment is due.
We will send you an email with a booking confirmation once the £50 booking fee has been received.
The remaining balance will become payable 14 days prior to the date of your event and in all cases prior to the hire commencing, unless otherwise agreed.
We will contact you 21 days prior to your event date to request payment of the final balance.
Bank transfer is the preferred method of payment and we will send you our bank details to facilitate this.
We can also accept payment of the final balance by credit card.
The operator will not operate the hired equipment until payment has been made in full. Extended time provided without being scheduled must be paid in full via electronic payment or cash.
Advertised prices and packages are subject to change without prior notification.
Photos and Video Messages
The copyright of all images will remain with Timeless Booths and by accepting these terms and conditions you are granting us the right to use any and all images taken on an event for marketing and promotional activities involving both digital, web and printed material.
In order to send the digital photos, access to WiFi is required at the venue and it is the hirers responsibility to ensure this is available. If WiFi is not available at the event venue, the photos will queue in the software and then be sent after the event when we can reconnect to WiFi. There is always an option to AirDrop the photos in the absence of WiFi but this can’t be guaranteed to work with all mobile devices.
The quality of photos is subjective and will not be grounds for refunds. All of our equipment is industry standard for the purpose of novelty photo booth rental services.
We will endeavour to provide the supplies and equipment ordered, but the operator reserves the right to substitute supplies or equipment at any time should there be a need.
We accept no responsibility for any loss or disappointment resulting from any printing failure or defective or imperfect prints resulting from circumstances outside of our control.
Equipment Set-Up
It usually takes up to an hour to set-up and up-to an hour to break down the equipment.
Please inform us of any circumstances that would make setting the hired equipment up more demanding, such as stairs, long distances from unloading areas etc.
If there are any complications that lead to a longer set-up and break-down time then this will come out of the run time.
The hired equipment will be setup in one location only as agreed on arrival and will not be moved once set up.
It is the responsibility of the hirer to ensure that the venue will accept the use of the hired equipment on their premises.
Any specific criteria that the venue requires such as PAT certification or PLI cover must be made known to us at least 30 days before the event date.
The hirer will arrange for sufficient space to be provided in positioning the hired equipment to allow safe use of the equipment by the operator and guests.
The hirer will arrange for the hired equipment’s final position to be close to an electrical socket of 220-240v fitted with a 13amp trip.
Damage to the Hired Equipment and Props
The hirer will be liable for all costs, expenses and losses incurred by Timeless Booths as a result of any damage to the hired equipment caused by the hirer or the hirer’s guests.
Props are provided for the entertainment of the guests and as an accessory item during the hire session and remain the property of Timeless Booths.
The hirer will be responsible for any loss resulting from theft or damage to the props during a hire session.
We accept no liability for any damage to or loss of personal property arising from the use of the hired equipment.
We will not be liable for any personal injury resulting from the use of the hired equipment unless caused by negligence on our part or on the part of a person for whose actions which are legally responsible.
Guest Behaviour
The hirer is responsible for ensuring that suitable security and crowd control measures are in place prior to the start of the event.
Whilst we encourage the fun use of the hired equipment, if we feel that it is not being treated in a respectful manner we will ask the guest(s) to leave the area near the hired equipment.
We will not accept any threatening or abusive behaviour and if this occurs we will stop the use of the hired equipment and dismantle without a refund.
No food or drinks are allowed on and around the area of the hired equipment.
Technical Issues / Failure to Supply
In the unlikely event of a technical problem with the hired equipment or events beyond our control a refund will be given pro-rata to any time lost.
The operator cannot be held responsible for any failure to provide a service of supplies or equipment if the operator has no control over the circumstances which may withhold all or part of the supply.
These may include but are not limited to traffic delays, severe weather conditions, breakdown of our vehicles, sickness, equipment failure or delay in operating the unit for any other reason outside of our control.
If we cannot attend or fulfil your hire due to events beyond our control we will contact you or the venue as soon as possible.
In these instances, our liability will be limited to a refund of all the monies paid.
Failure to supply due to the venue or client issues will not result in a refund.
Insurance and PAT Certification
We carry £5 million public liability insurance.
We will provide a copy of insurance details should the venue request one.
All of our equipment has been PAT tested and approved.
We will provide a copy of the PAT test certificate should the venue request one.
Our Liability
We accept no liability for any damage to or loss of personal property arising from the use of the hired equipment.
We will not be liable for any personal injury resulting from the use of the hired equipment unless caused by negligence on our part or on the part of a person for whose actions which are legally responsible.
We will not be liable under any circumstances for any indirect, consequential or special loss or damage.
Nothing in this section affects your statutory rights which cannot be excluded or limited by law.
Booking Cancellations
We understand that your circumstances can change but we would ask for as much notice as possible in the event that you need to cancel your booking.
The £50 booking deposit is non-refundable in all cases and any cancellations will be subject to the following cancellation charges:
Within 8 weeks prior to the event date - 20% of the final balance
Within 6 weeks prior to the event date - 50% of the final balance
Within 4 weeks prior to the event date - 75% of the final balance
Within 2 weeks prior to the event date - 100% of the final balance
Digital Photo Booth Hire Terms & Conditions
By renting from Timeless Booths you are agreeing to these terms and conditions. You are responsible for reading the entire document.
The following terms and conditions will set forth an agreement between the renter and Timeless Booths for photo booth services for the event. This written agreement sets forth the full written intention of both parties and supersedes all other written and/or oral agreements between the parties.
By renting from Timeless Booths you are agreeing to these written terms and conditions.
TERMS
The client understands that all images from this photo booth are sent via WiFi connection and photos may be delayed to guests if the connection is lost or the signal is weakened. All photos taken at the event will be sent to guests once a strong connection is made.
The quality of photos is subjective and not grounds for refunds. All our equipment is industry standard for the purpose of novelty photo booth rental service.
Payment must be made before additional time can be allowed. Rentals are only between 11 AM - 11 PM unless otherwise agreed or extra time has been paid for in advance.
Client acknowledges that any actions of the guests including but not limited to misuse of any equipment including props, backdrop, or stand by the client or client's guests including children in a manner that causes harm to another person is the sole responsibility of the said person. Client agrees that Timeless Booths or its owners shall not be held liable or responsible for any actions of the guests.
PAYMENT
To reserve photo booth rental service for the event, a deposit of £50 must be made prior to the event date. Service will not be rendered if full payment is not received prior to the event date.
Payment for extra time must be completed before time can be provided for your event. We may not be able to provide extra hours if not previously arranged. Extra hours provided without being scheduled must be paid in full via electronic payment or cash.
Any parking fees required to allow access to the venue or required for delivery staff to remain at the event for the duration of the event or setup time must be paid by the client on the same contract invoice. Any payment for parking fees not received may delay the attendant and will be billed to the client after the event.
DAMAGE TO PROVIDER’S EQUIPMENT
Client acknowledges that in the absence of damage waiver payment client shall be financially liable for any accidental damage to the provider's equipment. The client must pay £3,000 for equipment plus loss of business if the equipment is lost or damaged. The client is responsible for loss or damage to the provider’s equipment caused by:
a) any misuse of the provider‘s equipment by the client or its guests
b) any theft or disaster, (including but not limited to rain, fire or flood, etc)
c) any damage caused by the client requesting the photo booth to be set up outside without a covering
d) any vandalism to provider’s equipment
e) not returned
A £100 fee will be billed to the client if the photo booth setup was moved by the client or guests during the event.
INDEMNIFICATION
Client agrees to and understands the following:
a) client will indemnify the provider and its associates against any and all liability related to the client and clients guests’ use or misuse of the photo booth and props during or after the client’s event including events arising from the use of the photo booth by children
b) client will indemnify provider and its vendors against any and all liability associated with the use of pictures taken within the photo booth or by its representatives, employees or affiliates at client's event
c) client will indemnify provider from the time of service and on into the future, against any liability associated with said use.
MODEL RELEASE
Client agrees to and understands the following: Timeless Booths owns the copyright and reserves the right to use, photographic portraits or pictures of any photo booth user who may be included intact or in part, for any and all media now or hereafter known for illustration, art, promotion, advertising, trade, or any other purpose. Timeless Booths and its providers are released, discharged, and will be held harmless from any liability, that may occur or be produced in the taking of said picture or in any subsequent processing thereof, as well as any publication thereof, including without limitation any claims for libel or invasion of privacy. Photos may not be used by client or affiliates for any purpose other than personal use without the express permission of Timeless Booths. We respect your privacy so please let us know via email before your event if you would like your photos to be kept private and not used.
MISCELLANEOUS TERMS
If any provision of these terms shall be unlawful, void, or for any reason, unenforceable under contract law, then that provision, or portion thereof, shall be deemed separate from the rest of this contract and shall not affect the validity and enforceability of any remaining provisions, or portions thereof. This is the entire agreement between Timeless Booths and the client relating to the subject matter herein and shall not be modified except in writing, signed by both parties. In the event of a conflict between parties, the client agrees to solve any disputes via arbitration or small claims court.
By using Timeless Booths rental services the client agrees to be bound by the terms and conditions.
Prints Photo Booth Hire Terms & Conditions
By renting from Timeless Booths you are agreeing to these terms and conditions. You are responsible for reading the entire document.
The following terms and conditions will set forth an agreement between the renter and Timeless Booths for photo booth services for the event. This written agreement sets forth the full written intention of both parties and supersedes all other written and/or oral agreements between the parties.
By renting from Timeless Booths you are agreeing to these written terms and conditions.
TERMS
The service period will be the agreed upon rental time and date. We will arrive approximately 1 hour before the service period. If for any unforeseen reason, we are unable to arrive until your event begins or need to arrive early we will notify you as soon as we can.
Provider agrees to have the photo booth operational for a minimum of 80% of the paid rental period: occasionally operations may need to be interrupted for maintenance of the Photo Booth (changing photo paper, adjusting the camera, adjusting printer, fixing unexpected lag, or returning to the event to complete such tasks, etc).
If for any reason on our part (including but not limited to equipment malfunction), we are unable to start your event at the agreed-upon time or continue your event we will compensate you for any lost service time. First, by providing an additional time of up to 30 minutes if your venue permits or if your venue does not permit, a prorated refund not exceeding £20 for each hour lost. No compensation shall be made for delay caused by the client once the staff have arrived at the event location whether due to incorrect address, insufficient power, unclear instructions, or otherwise. No compensation shall be made for idle time or lost time resulting from the client's express permission for the staff to leave before the service time is over or for guests choosing not to use the photo booth.
The quality of photos or prints is subjective and not grounds for refunds. All our equipment is industry standard for the purpose of novelty photo booth rental service. Please note that the last photo booth session must end 5 minutes before the service end time. Any additional time requested by the client must be paid in increments of no less than 60 minutes at £100. Payment must be made before additional time can be allowed.
Photo Booth staff are not allowed to consume any alcoholic beverages during the service period.
Client acknowledges that any actions of the guests including but not limited to misuse of props, printer, backdrop, or any equipment by the client or client's guests including children in a manner that causes harm to another person is the sole responsibility of said person. Client agrees that Timeless Booths or its owners shall not be held liable or responsible for any actions of the guests or for any actions of the photo booth staff that is not detailed in their job description.

In the event of a conflict between parties, the client agrees to solve any disputes via arbitration or small claims court. In the event the provider is unable to supply a working photo booth for at least 80% of the service period, the client shall be refunded a prorated amount based on the service period clause of this contract. If the printer fails to print out photos on site the provider will be allowed to provide prints at a later time free of charge with free shipping as well as the ability for guests to download the digital files for their own use.
By using Timeless Booths rental services the client agrees to be bound by these terms and conditions.
Pick-Up & Drop-Off Photo Booth Hire Terms & Conditions
By renting from Timeless Booths you are agreeing to these terms and conditions. You are responsible for reading the entire document.
The following terms and conditions will set forth an agreement between the renter and Timeless Booths for photo booth services for the event. This written agreement sets forth the full written intention of both parties and supersedes all other written and/or oral agreements between the parties.
By renting from Timeless Booths you are agreeing to these written terms and conditions.
TERMS
The service period will be agreed upon dates. The client understands they must return the photo booth in the exact condition it was when given by the following Monday after the client’s event. If equipment is not returned within a week of the agreed return time, the client is liable to pay £1,500 for equipment plus loss of business due to not having the equipment.
All images from this photo booth are sent via WiFi connection and photos may be delayed to guests if the connection is lost or the signal is weakened. All photos taken at the event will be sent to guests once a strong connection is made.
The quality of photos is subjective and not grounds for refunds. All our equipment is industry standard for the purpose of novelty photo booth rental service. Client acknowledges that any actions of the guests including but not limited to misuse of equipment including props, backdrop, etc. by the client or client's guests including children in a manner that causes harm to another person is the sole responsibility of the said person.
SERVICES
Timeless Booths agrees to provide a photo booth rental and the client agrees to drop off the photo booth and other equipment rented by the following Monday after the client’s event, in the exact condition it was when given.
PAYMENT
To reserve photo booth rental service for the event, a deposit of £50 must be made prior to the event date. Service will not be rendered if full payment is not received prior to the pick-up date. We accept payment by credit card or bank transfer.
DAMAGE TO PROVIDER’S EQUIPMENT
Client acknowledges that in the absence of damage waiver payment, client shall be financially liable for any accidental damage to the provider's equipment. The client must pay £1,500 for equipment plus loss of business if the equipment is lost or damaged.
The client is responsible for loss or damage to the provider’s equipment caused by:
a) any misuse of the provider‘s equipment by the client or its guests
b) any theft or disaster, (including but not limited to rain, fire or flood, etc)
c) any damage caused by the client setting up the booth outside without a covering
d) any vandalism to provider’s equipment
e) not returned.
INDEMNIFICATION
Client agrees to and understands the following:
a) client will indemnify the provider and its associates against any and all liability related to the client and clients guests’ use or misuse of the photo booth and props during or after the client’s event including events arising from the use of the photo booth by children

c) client will indemnify provider from the time of service and on into the future, against any liability associated with said use.

Acceptance of Terms and Conditions
The hirer agrees that in providing the payment of the £50 booking fee, the hirer accepts these terms and conditions.
